Front Office Coordinators

Our growing and fast-paced Pain Management clinics are always looking for experienced Front Office Coordinators to join our team. The Front Office Coordinators are responsible for supporting the administrative functions of the clinic.

Job Duties: 

  • Greet patients and visitors in a warm, friendly manner
  • Schedule and confirm appointments
  • Collect co-pays, deductibles and follow-up on existing balances
  • Insurance verification, confirmation calls
  • Assist with our heavy call volume
  • Assisting the New Patient Coordinator/PI Coordinator
  • Keep front office and patient waiting area neat and tidy at all times
  • Inventory and clerical work
  • Other duties as assigned by management

Qualifications:

  • High school diploma, Associate’s or Bachelor’s degree
  • 2+ years of medical office experience
  • Understand HIPAA and OSHA regulations
  • Excellent organizational skills and the ability to multitask
  • EHR experience (We use prognoCIS)
  • Experience answering phone calls utilizing a multi-line phone system
  • Work experience with appointment scheduling
Medical Assistants

As a Medical Assistant you will be responsible for providing administrative support to ensure efficient operation of the medical offices. You will support our Physicians and patients through a variety of tasks related to patient care management, organization and communication. The target is to complete all activities accurately, with high quality and in a timely manner.

Job duties:

  • Interview patients and document basic medical history
  • Take vitals and document findings in the patient chart
  • Review personal injury questionnaire with appropriate patients
  • Take orders from Physician and ensure to relay information to the procedure team in a timely fashion
  • Enter laboratory services, and imaging
  • Help Physicians administer injections, perform urinalysis and other lab test, EKG
  • Assist during medical examinations
  • Triage patient calls, assess the problem, consult with the physician
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Prepare and clean treatment rooms and medical instruments

Qualifications:

  • Proven working experience as a medical assistant
  • Knowledge of medical office management systems and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Social perceptiveness and service oriented
  • Punctual and self disciplined
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Ability to work under pressure
  • Proficiency in MS Office and patient management software (EHR experience)
  • Degree in medical assistance preferred
Surgery Schedulers

The Procedure Schedulers serve as a clerical role, and work directly with our Office Manager to schedule procedures for our entire patient population. They will be responsible for addressing patients’ concerns regarding authorization and turnaround, as well as communicating to other physician and attorney’s offices.

Job Duties:

  • Contacting providers and requesting additional information for review based on Prior Authorization requirement protocols where necessary;
  • Communicating back and forth with attorney’s offices and receiving medical liens;
  • Adhering to the established criteria and timeframes for processing urgent authorization or referral requests;
  • Providing effective departmental communication with both internal and external patients;
  • Reviewing authorization requests for completeness and appropriateness prior to forwarding on;
  • Accessing insurance portals and submitting authorizations virtually;
  • Forwarding authorizations to appropriate department staff concerning eligibility and other coverage, pricing, and benefit issues;
  • Scanning, attaching, reviewing and effectively working with electronic images as part of the authorization process;
  • Identifying, maintaining and protecting sensitive HIPAA information (Personal Health Information) and following procedures to ensure the security of such information;
  • Responding to providers regarding authorization/referral status;
  • Entering data into PrognoCIS systems and notifying the appropriate personnel immediately of problems related to the electronic systems.
  • Scheduling and confirming procedural appointments for multiple providers
  • Communicating with Personal Injury Attorney’s Offices regarding patients under lien
  • Answering multi-line phone systems and directing calls to the appropriate department

Qualifications:

  • Associate’s or Bachelor’s degree preferred
  • 2+ years of Medical Office experience
  • Understanding of HIPAA and OSHA regulations
  • Excellent organizational skills and the ability to multitask
  • EMR experience preferred (Our system is PrognoCIS)
  • Have a friendly and welcoming disposition with patients
  • Experience with insurance authorizations highly preferred
  • Work experience with appointment scheduling is a must
